AutaRota ("we", "us", "our") is a rota and shift scheduling platform operated from the United Kingdom. This policy explains how we handle personal data on this marketing website (autarota.co.uk), for example when you browse the site, contact us, or start a free trial. Scope of this policy

This policy covers the AutaRota marketing website only. If you are a subscriber or an end user of the AutaRota application itself, the in-app Privacy Policy shown when you sign in is the policy that applies to your workforce data (rotas, shifts, leave, and related records) and remains the canonical reference for how the product handles that data.

What data we collect

On this website, we collect personal data in a few limited ways:

  • Enquiries you send us - if you email us or use a contact form on this site, we collect the name, email address, and message content you provide so we can respond.
  • Trial and account sign-up data - if you start a free trial, the AutaRota application (a separate service at app.autarota.co.uk) collects the account and billing details needed to set up your organisation, as described in the in-app Privacy Policy.
  • Technical data - our hosting provider processes standard web request data (such as IP address and browser information) to serve pages and keep the site secure, as described in Cookies and similar technologies below.

How we use your data

We use the data described above to:

  • Respond to enquiries sent through this website
  • Operate, secure, and improve this website
  • Understand which pages are useful, if analytics is enabled (see Cookies)

This website does not use advertising or tracking cookies. It does use Google Analytics 4 (GA4) to understand how visitors use the site, but only once you have given consent through the cookie banner; GA4 is not loaded and no analytics cookies are set until you accept. Who we share data with

We do not sell personal data. Enquiries sent through this website are handled by us directly. We use service providers to host and deliver this website, and, where you consent to analytics, Google as our analytics data processor (see Where data is stored below), who process technical request data on our behalf under contractual data protection terms.

Where data is stored and processed

This website is hosted on Firebase Hosting. Personal data collected through this site is primarily stored and processed in the UK and the EEA. Where transfers outside the UK/EEA occur and safeguards are required, we rely on appropriate mechanisms such as the UK International Data Transfer Agreement (IDTA) and/or Standard Contractual Clauses. This applies equally to Google Analytics, where you have consented to it, as it does to our other service providers.

Data retention

We keep enquiry messages for as long as needed to respond to you and for a reasonable period afterwards for our records, and delete them when no longer needed. Technical request logs from our hosting provider are retained for a limited period for security purposes.

Your rights

Under UK GDPR, you may have the right to access, correct, delete, restrict, object to, or port your personal data. To exercise these rights in relation to this website, email support@autarota.co.uk. You can also lodge a complaint with the Information Commissioner's Office.

If you are an employee of an AutaRota customer and want to exercise rights over your workforce data (rota, shifts, leave), contact your employer first, as they are the data controller for that data. See the in-app Privacy Policy for detail.

Children

This website is intended for business use and is not directed at anyone under 16. We do not knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. We will post the latest version here and update the "Last updated" date. See also our Terms of Use.
